This privacy policy helps you, as a visitor, understand how Be Informed uses the personal data we collect from you when you use our Website and/or Portal(s). We do our utmost to ensure that your data is processed in accordance with the EU General Data Protection Regulation (GDPR) and other applicable Directives and Regulations.
This privacy policy applies to this Website, the Be Informed Academy portal (www.academy.beinformed.com), as well as the Be Informed Plaza portal (www.plaza.beinformed.com), and Be informed Workbench Portal (www.workbench.beinformed.com) (“Portal(s))”. Therefore, when you click on a link to another website during your visit, you should read the privacy policy on that website. This privacy policy was last updated in October 2024. Be Informed keeps its privacy policy under regular review and posts any updates to this web page. Please check our privacy policy regularly, as this page is subject to frequent changes.

Data collection
During your visit, Be Informed collects analytical data about your visit (such as the length of your session and the number of pages you visit), as well as personal identification information (such as your name, email address, and phone number). We collect analytical data when you use and view our Website and/or Portal(s) via your browsers cookies (see also Be Informed’s Cookie Policy). Personal identification information is only collected with your consent, when you provide this information in contact forms, download forms on our Website or when create an account to get access to one of our Portals.
We use analytical data merely to improve our Website, as well as the services we provide through our Website and/or Portal(s). In no way can this data be traced back to your personal information and is therefore fully anonymous. Personal identification information you may provide in a contact form on our Website is necessary to be able to contact you at your request. When you provide your e-mail address to access a download on our Website or Portal, we will use this data with your permission to email you special information about our company and services.
When you want to create an account to get access to (one of) our Portal(s), you need to provide your e-mail address so we can get you a login. When your account has been created we ask for additional information like: first name, last name, company name and password.
Personal identification data that you may provide to Be Informed as e.g. part of a contract when you use our services and products, will only be processed in the Netherlands. This to provide you access to (one of) our Portal(s) or our issue registration and support portal (Jira), for administrative purposes (contracting and invoicing), as well as provide you with product news and commercial information.
- For release e-mails we collect: company name, job title, e-mail address, and phone number;
- For subscribing to and sending the newsletter and updates we collect: name and email address;
- For downloading a white paper we collect: your name and email address;
- For requesting a demo we collect: name, job title, company name, sector and email address;
- For getting in contact we collect: first and last name, phone number, job title, company name and email address;
- For the weekly inspiration we collect: email address;
- For a job application we collect: first name, last name, email address, phone number and information provided in your resume;
- For access to the Software, documentation and support it involves: company name, address information (vh company) and contact information (email address, phone number, contact name(s));
- For access to the Plaza documentation portal is involves: company name, company address, contact details (email address, phone number, company contacts);
- For access to the Be Informed Academy Portal it involves: name, role (job title), company name and email address;
- For access to the Workbench it involves: name, company name and email address;
- For Webinar registration we collect: first name, last name, business email, company.
Data storage and security
Be Informed has taken strong measures to protect the security of your personal identification data and to ensure that your choices for its intended use are honoured. We take strong precautions to protect your data from loss, misuse, unauthorized access or disclosure, alteration or destruction.
Be Informed securely stores your data using one or more hosting services of a ISO27001:2022 certified company, based in the Netherlands, to host our infrastructure and applications. A data processing agreement with this company is in place, to ensure that all data storage and processing complies with the GDPR and other relevant regulation.
Personal identification data provided through contact forms will be stored and used by Be Informed as long as necessary to perform the requested services to you.
Personal identification data you provide to Be Informed when you create an account to get access to (one of) our Portal(s) will be stored and used by Be Informed as long as necessary to perform the requested services of the Portal(s) to you.
Email addresses collected for e-mail newsletters will be stored for the duration of the subscription. You will always be provided with an option to unsubscribe. Once you unsubscribe, your data will be removed.
Personal identification data you provide to Be Informed as part of a contract or the issue registration and support portal (Jira) will be stored for the duration of your contract plus one year (for P&C) and keep financial related information on our records for 7 years as required by tax authorities.
Your personal identification data is never shared outside Be Informed without your permission, except when necessary for the performance of our services or if we are legally obliged to do so.
You also have a significant role in protecting your information. No one can see or edit your personal information without knowing your username and password, so do not share these with others.
Your rights
Be Informed would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
- The right to access: You have the right to request copies of your personal identification data. We may charge you a fee for this service.
- The right to rectification: You have the right to request the correction and completion of any information you believe is inaccurate.
- The right to erasure: You have the right to request the erasure of your personal identification data, under certain conditions.
- The right to restrict processing: You have the right to request restriction of the processing of your personal identification data, under certain conditions.
